Five working documents, ready to use today.

Written for the way an Arizona shop day actually breaks. Print them, adapt them, hand them to whoever runs your board. They work with or without Coil.

RES. 01 Dispatch Checklist

Dispatch chaos checklist

A quick checklist for reviewing call-offs, late techs, emergency jobs, and customer ETA updates.

Morning, before the trucks roll

  • Every job on the board has a tech, a time window, and a confirmed address.
  • Yesterday's unfinished work is rescheduled on the board, not floating in your head.
  • Parts for today's installs are on the right trucks.

When a tech calls off

  • Pull their stops up by promise window, tightest first.
  • Cover the morning calls before you touch the afternoon.
  • Text every affected customer a new window before they call you.

When an emergency no-cool lands

  • Find the tech who is closest and can close it: right skills, right parts.
  • Bump the most movable job, not the next one on the list.
  • Tell the bumped customer first, then dispatch the emergency.

When a job runs late

  • Update the customer the moment you know, not when the tech finally leaves.
  • Give a new arrival window, not an apology.
  • Note why it slipped so the same job type gets a longer slot next time.
RES. 02 Payments Policy

Diagnostic fee policy template

A simple structure for deciding when diagnostic fees are paid, waived, or credited toward approved work.

Paid

The customer declines the repair after diagnosis. The hour on site was real work. Charge the fee and leave the estimate open so they can come back to it.

Credited

The customer approves the quoted work. Fold the fee into the job total so saying yes never costs extra.

Waived

Warranty callbacks on your own work, and membership visits where diagnosis is already covered by the agreement.

Make it stick: write the policy down, put it in the booking confirmation text, and have everyone who answers the phone say it the same way.

RES. 03 Memberships Checklist

Membership visit checklist

A lean checklist for recurring tune-up visits, covered equipment, and customer communication.

Before the visit

  • Check covered equipment against the agreement, not memory.
  • Confirm the appointment 24 hours out, with the tech's name in the text.

On site

  • Photograph the nameplate, filter, and coil condition before and after.
  • Note anything likely to fail before the next visit, with a price attached.

After the visit

  • Send the visit summary the same day, photos included.
  • Book the next visit on the spot. Spring slots in the Valley go fast.
RES. 04 Follow-up Script

Estimate follow-up script

A practical prompt for following up without sounding pushy after an estimate is sent. Two texts, spaced out, written the way a person talks.

Day 2 after the estimate
Hi [first name], it's [your name] at [shop]. Wanted to make sure the estimate for the [repair] came through okay, and see if any line on it needs explaining. No rush on a decision.
Day 7, last touch
Hi [first name], one last check-in on the estimate from last week. If the timing isn't right, say the word and I'll close it out. If anything about price or options is the snag, I'm a text away.

Two touches, then stop. The easy out in the second message is what keeps it from sounding pushy, and it gets more honest replies than a third call ever will.

RES. 05 Buyer guide Guide

Coil vs Jobber, Housecall Pro + ServiceTitan

Compare AI Office, pricing for a 15-tech shop, field-service depth, and HVAC workflow fit. Four things to check before you commit to any of the four:

01

AI Office. What the AI layer actually does on the dispatch board and in the office, not just in a chat window.

02

Pricing for a 15-tech shop. The real monthly total, shown in the open before a sales call.

03

Field-service depth. Dispatch, estimates, invoicing, payments, and memberships in one record.

04

HVAC workflow fit. How each tool handles a real shop day: call-offs, no-cools, callbacks, follow-up.

Honest note: the comparison is not an attack ad. If you are running 25+ trucks, ServiceTitan's depth may be worth its price.

The manual versions work. Coil runs them all day.

Dispatch repair, customer updates, membership reminders, estimate follow-up: the same plays these templates cover, prepared inside Coil and queued for your approval.
